Custom Order Policy

At Access Embroidery, every custom order is produced specifically to your approved requirements. This Custom Order Policy explains how we manage artwork, logo files, approvals, production, order changes, and cancellations to ensure a smooth and accurate production process.

1. Custom Orders

All customised products are produced according to the specifications approved by the customer.

This includes, but is not limited to:

  • Custom embroidery
  • Company logo embroidery
  • Corporate uniforms
  • Workwear
  • Hospitality apparel
  • School and sports uniforms
  • Promotional apparel
  • Branded bags and accessories

As these products are made specifically for each customer, additional conditions apply before production begins.

2. Artwork & Logo Files

To achieve the best embroidery results, customers should provide high-quality artwork wherever possible.

Preferred file formats include:

  • AI
  • EPS
  • PDF
  • SVG
  • PNG (High Resolution)
  • JPEG (High Resolution)

If supplied artwork is unsuitable for embroidery, we may recommend artwork adjustments or embroidery digitising before production.

3. Embroidery Digitising

Most embroidered logos require digitising before production.

Digitising converts your logo into an embroidery file that can be read by our embroidery machines.

Depending on your order, digitising fees may apply and will be advised during the quotation process.

Digitised embroidery files created by Access Embroidery remain our production files unless otherwise agreed in writing.

4. Artwork Approval

Before production begins, customers may receive an artwork proof or embroidery layout for approval.

Customers are responsible for carefully reviewing:

  • Logo design
  • Embroidery placement
  • Colours
  • Spelling
  • Garment selection
  • Sizes
  • Quantity
  • Any special instructions

Production will only commence after final approval has been received.

5. Customer Responsibility

By approving artwork, the customer confirms that:

  • All information is accurate.
  • Logo placement is correct.
  • Colours have been reviewed.
  • Spelling is correct.
  • Garment sizes and quantities are correct.
  • The approved artwork is ready for production.

Access Embroidery cannot be held responsible for errors that have been approved by the customer prior to production.

6. Production

Production begins once:

  • The quotation has been accepted.
  • Artwork has been approved.
  • Required payment or deposit has been received.
  • Product availability has been confirmed.

Production times vary depending on order size, product availability, and embroidery requirements.

Estimated production times will be provided during the quotation process.

7. Changes to Orders

If you need to make changes to your order, please contact us as soon as possible.

Changes requested before production begins may be accommodated where practical.

Changes requested after production has commenced may:

  • Not be possible.
  • Delay production.
  • Incur additional charges.
  • Require a revised production schedule.

This includes changes to:

  • Artwork
  • Logo placement
  • Thread colours
  • Garment styles
  • Sizes
  • Quantities
  • Delivery details

8. Order Cancellations

Orders may be cancelled before production begins.

Once work has commenced, including:

  • Artwork preparation
  • Embroidery digitising
  • Garment ordering
  • Production

cancellation may no longer be possible.

Where cancellation is accepted after work has commenced, charges may apply for work already completed and materials ordered.

9. Colour & Embroidery Variations

Every effort is made to match approved artwork and thread colours as closely as possible.

However, slight variations may occur due to:

  • Thread manufacturer tolerances
  • Garment fabric
  • Embroidery techniques
  • Screen display differences
  • Lighting conditions

Minor variations that fall within normal industry tolerances are not considered manufacturing defects.

10. Repeat Orders

Access Embroidery may retain approved embroidery files and production information to help ensure consistency for future repeat orders.

If artwork, garment styles, or branding requirements change, updated approval may be required before production.

11. Customer-Supplied Garments

Where customers provide their own garments for embroidery:

  • Garments should be clean and suitable for embroidery.
  • Customers are responsible for ensuring garments are appropriate for the requested application.
  • While every care is taken during production, Access Embroidery cannot accept responsibility for issues arising from defects, fabric limitations, or manufacturer faults in customer-supplied garments.

12. Intellectual Property

Customers confirm they own or have permission to use all logos, trademarks, artwork, and branding supplied for production.

Access Embroidery accepts no responsibility for copyright or trademark disputes relating to customer-provided artwork.
